Booking Engine Information

How to Book a Package.

If you have a Username and Password for the Travel Agent Booking Engine, please access the link for the Engine titled Booking Engine on the previous page. If you do not have a Username and Password, please complete the application form on the top of the same page.

Please choose the option titled Packages on the page you pull up. You then need to enter your Arc number and Password to access the Engine.

Once you have entered your Arc number and Password, you will see a start page that includes your name and Travel Agency Name, and a section titled “Getting Started”. Please take time to read through the information provided before starting the actual booking. At this point you can create a booking for your passenger or create a package quote. The quote will be held for 7 days and will automatically cancel if the booking has not been finalized. To create a package booking or a quote, please click on the GO button at the bottom of the page.

Icelandair offers several packages both in Iceland and in our other European destinations, please choose the desired package. If you need detailed descriptions of any of the packages offered, click here.

The next page lists the Icelandair departure cities for the package in question. Please click on the applicable city. You will then be asked to choose the amount of single or double rooms you require for your passengers. After you have made your choice, please click on the Continue button. Now please add the names of the passengers, as well as your contact telephone number. At this point you are also able to choose your mailing preference. To continue, please click the Submit button.

On the next page, you will see the available package dates highlighted in blue, please choose the desired date.

The following page gives you the flight itinerary, with the option of extending the stay in Iceland for your passenger. Those that are traveling on a European package can build in the option of a Take-A-Break in Iceland for up to 21 nights in either direction. If the passenger would like to build in a Stopover, it would be advisable to check availability for land arrangements for the Iceland stay. To do so, please go to “Land Only”. Please see below for information on how to book a land arrangement.

Please click the Continue button to go to the next page, where you choose the Hotel from those available. Once you have chosen the Hotel, you will get a summary page of the booking. It includes the flight information, the name(s) of the passenger(s), the hotel information as well as the total charge.

Please note: In some cases, the hotel will not be listed if the package is an all-inclusive trip around Iceland. The hotel information will be sent out with the documents. If the package includes air and car rental, the preferred car will often be listed. It is imperative that you have read the description and inclusions pertaining to the package you are booking, to do so please visit: click here.

You can add an Agency Fee before the documents are issued; to do so, please choose the Agency Fee option on the top of the page. The fee is a flat fee, and not per person.

At this point you can save your quote. A quote will be held for 7 days, and it will automatically cancel if the booking has not been finalized. If you would like to purchase the quote, please click on the Purchase option on the page. Please enter the credit card and contact information requested.

Once booked on-line, the reservation is confirmed and a MCO will be issued for services purchased. The MCO will be mailed to your Travel Agency address.

How to Book Land Arrangements.

If you have a Username and Password for the Travel Agent Booking Engine, please access the link for the engine titled Booking Engine on the previous page. If you do not have a Username and Password, please complete the application form on the top of the same page.

Please choose the option titled Land Only on the page you pull up. You then need to enter your Arc number and Password to access the engine.

Once you have entered your Arc number and Password, you will see a start page that includes your name and Travel Agency Name, as well as sections titled “Introduction” and “Getting Started”. Please take time to read through the information provided before starting the actual booking. After you have read the information, please click on the GO button at the bottom of the page. It is also imperative that you read the instructions and information on each page you access through the entire booking process.

Please note: Hotel, car rental and tour segments may be booked for both Iceland and European destinations. At this time, ground transfers, restaurant bookings, events or promotions may be added ONLY to reservations where Reykjavik is the destination.

The next page offers you the option of retrieving an already booked PNR, or creating a new PNR. In order to create a PNR, please click on the option titled NEW. Selecting NEW will take you to a form that you must complete to enable the system to correctly book, issue and deliver the land vouchers to your customers. After completing this form click on the Submit button at the bottom of the page. The next page will display your information as well as the land options that are available for you to book for your client.

The land options will show under each destination city and the corresponding dates you provided the system with. Before starting to book a land arrangement, please take the time to add the applicable form of payment. You can add more than one form of payment if necessary. Once the form of payment is added, it will show up under the section titled Miscellaneous Data.

You are now ready to book any land arrangements, if you need detailed descriptions of any of the land options offered, please visit: icelandairholidays.com.

In order to book, please click on the land arrangement needed, whether that is a Hotel, Car, Tour or other option. If at this time you have not added the form of payment, an option of “do not book” will show in the drop down box under the description for the land arrangement. If the form of payment has been added, that will show up as well. Please choose the applicable form of payment and date, and click on the Details button. A hotel pick up can be added at this point if applicable. To book, choose the Book Now button.

The land arrangement booked will show under the Miscellaneous Data section. If you would like to cancel the land option booked, please uncheck the box next to the booking line.

You can add an Agency Fee before the documents are issued; to do so, please choose the Agency Fee option on the left hand side of the page. The fee is a flat fee, and not per person.

If the passenger is not ready to purchase the land arrangements selected, the PNR will be held as a quote in the system. However, as the Booking Engine is a free-sell system, no land arrangement is confirmed or held. The only way to confirm the PNR is to issue the documents.

After making all the land arrangements necessary, if the passenger is ready to purchase, please click on the Issue button on the left hand side of the page. Please allow the engine to process the issue request. When processed, you will receive a message stating: Profits update and transaction queuing complete. The land booking lines will show on the page with a result status. Once the result status is marked as success, you can print the confirmation page.

The confirmation page is accessed by choosing the confirmation option in the booking. To print the confirmation, please click on Print This Page.

Some or all of the requested land arrangements might show as pending when looking at the confirmation page. A Pending status only means that Icelandair is waiting for an acknowledgement from the vendor. Once the Pending status is updated you may see either a note of Confirmed, OK or a number from the vendor.

Once booked on-line, the reservation is confirmed and a MCO will be issued for services purchased. The MCO will be mailed to your Travel Agency address.
